Job Description: Executive Assistant to the CEO

Organization: Boys & Girls Clubs of Monmouth County

The Boys & Girls Clubs of Monmouth County is seeking a highly organized, professional, and dynamic Executive Assistant to provide comprehensive support to our CEO. This key role demands a proactive, creative, and resourceful individual who is capable of managing a wide range of administrative tasks and projects. The ideal candidate will have exceptional communication skills, the ability to manage complex schedules, and a passion for making a difference in the community.

Reports to: CEO

Key Responsibilities

Administrative Support:

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements to ensure efficient time management.
  • Handle the majority of all incoming and outgoing communications for the CEO, including phone calls, emails, and postal mail.
  • Prepare and organize documents for meetings, presentations, and board reports, ensuring the CEO is well-prepared for all engagements.
  • Maintain confidentiality of all corporate, personnel, and research matters.

Meeting and Event Coordination:

  • Coordinate board meetings, including scheduling, logistics, preparing meeting materials, and taking minutes.
  • Assist in the planning and execution of special events and meetings, providing logistical support and coordination.

Project Management:

  • Undertake special projects with a hands-on approach, from inception through completion, as directed by the CEO.
  • Assist in the implementation and monitoring of organizational projects and initiatives, ensuring deadlines are met.

Liaison Role:

  • Act as the point of contact between the CEO and internal/external stakeholders.
  • Coordinate with different departments and team members to ensure smooth communication and prompt resolution of requests and issues.

Qualifications

  • Proven experience as an executive assistant or similar administrative role.
  • Ability to adapt quickly and respond to unexpected situations calmly and creatively.
  • Exceptional organizational and time-management skills.
  • Meticulous attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and other office management tools.
  • Ability to handle confidential information with discretion and integrity.
  • Strong problem-solving skills and the ability to think critically and act promptly.
  • Bachelor’s degree in Business Administration, Communications, or a related field is preferred.

Job Type: Part-time

Pay: $24.00 - $30.00 per hour

Expected hours: 24 per week

Benefits:
